This Privacy Policy explains how Job Genkan collects, uses, shares, and protects the personal information of the engineers and companies who use our platform, and the choices and rights you have. We handle personal information in accordance with Japan's Act on the Protection of Personal Information (APPI) and other applicable laws.

About Job Genkan

Job Genkan (the “Service”) is a recruiting platform that connects software engineers from around the world with companies hiring engineering talent in Japan. Job Genkan operates the Service and is the business operator responsible for the personal information handled through it (referred to as “we,” “us,” or “our”).

This policy applies to candidates (engineers) who create profiles, to company users who search for and contact candidates, and to visitors to our website.

Personal Information We Collect

We collect the following categories of personal information directly from you and through your use of the Service:

  • Candidate account and profile information: name, email address, account credentials, profile photo, headline and biography, technical skills, Japanese-language ability (including JLPT level), visa and residency status, current and desired location, years and history of work experience, employment preferences, salary expectations, resume files, and external links such as GitHub, LinkedIn, or a portfolio.
  • Company account information: company name; the name, department, and job title of representatives; business email address; telephone number where provided; and account credentials.
  • Billing information: when a company subscribes to a paid plan, payment is processed by our third-party payment provider. We receive transaction and subscription details but do not store full payment card numbers.
  • Communications: messages exchanged between companies and candidates through the Service, and inquiries you send to us.
  • Usage and technical information: cookies and similar technologies, log data, IP address, device and browser information, and records of how the Service is accessed and used.

Purposes of Use

We use personal information for the following purposes:

  • To register, authenticate, and manage candidate and company accounts.
  • To create, store, and display candidate profiles to companies using the Service.
  • To enable companies to search for and contact (“scout”) candidates, and to facilitate messaging between companies and candidates.
  • To provide related tools and features, such as Japanese-format resume generation and a take-home pay calculator.
  • To process company subscriptions, scout-ticket purchases, billing, and related accounting.
  • To provide customer support and to respond to inquiries and requests.
  • To operate, maintain, secure, and improve the Service, including analytics and product development.
  • To detect, prevent, and respond to fraud, abuse, and violations of our terms.
  • To send service-related notices and, where permitted, information about the Service.
  • To comply with applicable laws and to respond to lawful requests from public authorities.

How Candidate Information Is Shown to Companies

Candidates control the visibility of their profile. A profile may be published so that registered companies can find it through search, kept limited so that identifying details are restricted until the candidate engages, or hidden as a private draft.

Even when a profile is published, sensitive information — including resume files and direct contact details and personal links — is withheld from companies until the candidate has been scouted and chooses to engage. Companies may access candidate information only to evaluate and contact candidates for legitimate recruiting purposes, and are expected to handle that information accordingly.

Provision of Personal Information to Third Parties

We do not sell personal information. We do not provide personal information to third parties except in the following cases:

  • With your consent.
  • When disclosure is required or permitted by law, or is requested by a public authority in accordance with law.
  • To service providers that handle personal information on our behalf under our instructions, as described in “Outsourcing” below.
  • In connection with a merger, acquisition, reorganization, or transfer of all or part of our business, in which case personal information may be transferred as part of that transaction.

Outsourcing

To operate the Service, we entrust the handling of personal information to service providers, such as cloud hosting, payment processing, email delivery, and analytics providers. In such cases, we select providers that meet appropriate standards and exercise the necessary supervision over their handling of personal information.

Handling Within Japan

The Service is provided to companies that operate within Japan. We store and process personal information within Japan and do not transfer or provide personal information to third parties located outside Japan.

Cookies and Analytics

We use cookies and similar technologies to keep you signed in, to remember your preferences, to secure the Service, and to understand how the Service is used so that we can improve it. You can manage or disable cookies through your browser settings; however, some features of the Service may not function properly if cookies are disabled.

Security

We take appropriate organizational and technical measures to protect personal information against unauthorized access, loss, destruction, alteration, and leakage, and we review these measures as the Service evolves.

Retention of Personal Information

We retain personal information for as long as necessary to fulfill the purposes described in this policy, to provide the Service to you, and to comply with our legal obligations. When personal information is no longer needed, we delete or anonymize it. Candidates and companies may request deletion of their account as described below.

Your Rights and Requests

Subject to applicable law, you may request that we disclose, correct, add to, or delete your personal information; that we suspend its use; or that we cease providing it to third parties. You may also request deletion of your account.

Signed-in candidates can submit these requests from the privacy request page in account settings. We verify the identity of the requester, review the request without delay, and notify you of the outcome by email. If we are unable to take a requested measure, we will endeavor to explain the reason and any alternative measure.

Minors

The Service is intended for working professionals and is not directed to individuals below the age of majority. We do not knowingly collect personal information from children. Where the consent of a legal guardian is required, we ask that it be obtained before the Service is used.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in the Service or in applicable law. When we make material changes, we will post the updated policy on this page and revise the “Last updated” date shown above.
